Family Services Coordinator – Rockbridge/Buena Vista

DEFINITION AND PURPOSE:
Assist the Supervisor of Family Services in the planning and implementation of the Family Service Area. All policies and procedures shall be followed in accordance with the Department of Health and Human Services and TAP.

Supervises: Family Development Specialists
Coordinates with: Central Staff, Center Staff and Other Community Service Agencies
- Recruitment and Eligibility
- Sends letters of recruitment and public service announcements in early Spring.
- Assists the Supervisor of Family Services in target area assignments as needed.
- Assists to fill vacancies, maintain waiting lists and ensure that no more than 10% of enrollment is over-income, ongoing.
- Organizes and presents community presentations, as needed.
- Schedules set-ups in area stores, bus stations, etc. for community events.
- Monitors pre-applications, mails requests for verification and distributes them to Family Development Specialists.
- Notifies eligible families of entrance date of children, as needed.
- Maintains full center enrollment at all times.
- Implementation and Monitoring
- Establishes procedures for the use of Family Services forms and reports, ongoing.
- Monitors enrollment and daily attendance data and percentages, monthly.
- Reviews children’s family services records to assure compliance with Head Start performance standards and completes the review of records.
- Monitors the Family Strength Worksheet to determine if individual family needs are being met and follow-up provided, monthly.
- Confers with staff and advises when additional assistance plans are required, as needed.
- Gives an update on monthly report paperwork to Family Development Specialists and Supervisor of Family Services.
- Child Abuse and Neglect
- Assists supervisor with a system of identifying and monitoring child abuse and neglect.
- Reports immediately to Child Protective Services suspected cases of abuse and/or neglect as they occur.
- Training and Technical Assistance
- Receives tallied training need’ assessments and monitors parent trainings.
- Reviews training needs of staff, ongoing.
- Visits all centers at least three times per year to evaluate parents’ participation.
- Acts as resource person and provides training in conjunction with supervisor.
- Policy Council Activities
- Assists Supervisor of Family Services with Policy Council responsibilities, performing only those duties as delegated by supervisor.
- Staff Management
- Works with Family Development Specialist in the resolution of personnel problems.
- Evaluates staff annually.
- Head Start and Services Area Related Meetings
- Attends Family Services staff meetings, monthly.
- Attends Child & Family Staffing, as scheduled.
- Attends Family Services Advisory meetings, as scheduled.
- Attends in-service training, conferences and workshops, upon request.
- Attends coordinators meeting, monthly.
- Attends Family Services management team meetings, weekly.
- Community Resources and Networking with Community Programs
- Maintains a Directory of Community Services and supervises its delivery, as well as informing staff of community resources.
- Represents TAP Head Start in the community by participating in a Community Agency Advisory Committee.
- Acts as liaison with community programs partnering with Head Start.
- Performs other duties as assigned and required.
ESSENTIAL KNOWLEDGE, SKILLS AND ABILITIES:
- Working knowledge of community resources.
- Writing ability sufficient to prepare reports.
- Ability to train staff and parents in program responsibilities.
- Able to exhibit appropriate professional interactions with staff, parents and the community.
TRAINING, EDUCATION AND EXPERIENCE:
- Bachelor or Associate Degree in Social Work or related field or equivalent experience.
- At least three years of supervisory experience.
- Valid Virginia Operator’s license and reliable transportation.
- Willing to adjust work schedule as needed.
- Must pass drug screening. Some positions require positive complete background screening including: criminal, sex offender and child protective services.
- Capable of completing certification in First Aid and CPR for infants and children.
- Must be able to interact with children.
- Physical activity of this position – climbing; ascending and descending ladders, stairs, scaffolding, ramps, poles and the like; balancing, stooping, kneeling, crouching, crawling, reaching, standing, walking, pushing, pulling, lifting, use of fingers for – picking, pinching and typing; grasping, feeling, talking, hearing, repetitive motion of the wrists, hands, and/or fingers.
- Physical requirements of this position – medium work; exerting up to 50 pounds of force occasionally and/or up to 30 pounds of force frequently, and/or up to 10 pounds constantly to move objects.
- Visual acuity requirements – close visual acuity to perform an activity such as preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.
- Conditions subject to in this position – environmental conditions; protection from weather conditions but not necessarily from temperature changes.
